02. Information we collect
We collect only the information needed to receive and respond to enquiries and to keep the website secure.
Information you provide
When you use the Contact form, you give us your first name, last name, email address, subject, and message. A phone number is optional, but it is required if you choose to receive SMS messages. The form also includes a separate SMS consent checkbox, which is unticked by default.
Information recorded with your submission
- Whether you ticked the SMS consent checkbox, the exact consent wording shown to you, and the version of that wording.
- The date and time you gave SMS consent, if you opted in.
- The date and time of the submission and the page from which it was sent.
- A randomly generated reference ID for your request.
- A one-way hash (a fixed-length fingerprint) of the submission, used to recognize an accidental duplicate or retry so that it is not saved twice.
Technical information
To limit automated abuse, the website converts your IP address into a one-way hash combined with the current hour and uses it to count submissions; the raw IP address is not stored with your message. Our hosting provider may also process technical request data, such as IP address, browser user agent, and timestamps, in server logs for security and reliable delivery of the website.
The form contains a hidden field that people do not see and that automated programs tend to fill in. We use it only to identify likely automated submissions. We do not buy personal information from data brokers or combine your enquiry with information from other sources to build a profile about you.
03. Account information
The website does not offer user accounts, registration, or logins, and we do not collect usernames or passwords through it. You can browse the website and send an enquiry without creating an account.
If a client engagement later requires access to a system or tool, any information needed for that access is handled under the applicable written agreement and any notice provided with it, not through this website.
04. Payment information
The website does not accept online payments and does not collect payment card numbers, bank account details, or other financial account information. Please do not send payment details through the Contact form.
Fees, invoicing, and payment methods for our services are agreed in writing with each client. Any payment information exchanged in that context is handled under the applicable agreement.
05. How we use information
We use the information described in this policy to:
- Read and respond to your enquiry by email or phone, using the contact details you provide.
- Understand your needs, prepare proposals, and discuss our services with you.
- Record your SMS choice and the wording you agreed to, honor that choice, and, if you opted in, send the SMS messages described in SMS and mobile information.
- Detect duplicate submissions so that a retried message is saved only once.
- Protect the website, our business, and visitors against spam, fraud, and abuse.
- Keep business records, meet legal and regulatory obligations, and establish or defend legal claims.
We do not use your information for automated decision-making that produces legal or similarly significant effects, and we do not use it to profile you for advertising.
07. How information is shared

08. Sale of information and targeted advertising
We do not sell personal information, and we do not share personal information for cross-context behavioral advertising or targeted advertising. We do not allow advertising networks to collect information about visitors through the website.

09. Data retention
We keep enquiries, including the details recorded with each submission, for as long as reasonably needed to respond to you, manage any resulting business relationship, keep appropriate business records, and meet legal obligations. After that, we delete or anonymize the information.
Records of SMS consent choices, including the wording and version shown and any later opt-out, may be kept for as long as needed to demonstrate the choice that was made and to honor opt-out requests. Rate-limiting counters based on hashed IP addresses expire after about an hour. Server logs held by our hosting provider are kept according to that provider's own practices.
We may keep information longer where required by law or where it is needed to resolve a dispute or enforce our agreements.
10. Security
We use reasonable administrative, technical, and organizational measures to protect personal information. The website is delivered over encrypted HTTPS connections, access to stored enquiries is limited to people who need it, the website does not offer any public way to read other visitors' messages, and submissions are subject to origin checks, size limits, and rate limiting.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please do not send passwords, payment details, government identification numbers, health information, or other sensitive information through the Contact form. If you believe your information has been compromised, contact us at support@brentova.org.
11. Customer support communications
When you send an enquiry or otherwise contact us, we use your information to answer your questions and provide the support you request. We may reply by email or call you using the phone number you provide. We keep a record of the correspondence so that we can follow up and keep track of what was discussed.
The Contact form shows a confirmation only after your message has been saved. Submitting the form does not currently trigger an automatic confirmation email or text message. Support for clients receiving our services is provided as set out in the applicable agreement.
12. Marketing communications
Sending an enquiry does not subscribe you to a newsletter or marketing list. If we send you marketing emails, we will do so only where permitted by applicable law, and each message will explain how to opt out. You may ask us at any time to stop sending marketing communications by contacting us at support@brentova.org.
Opting out of marketing does not stop us from replying to your enquiries or sending messages that relate to services you have requested. SMS messages are covered separately in SMS and mobile information.
13. SMS and mobile information
The Contact form includes an optional SMS consent checkbox. It is unticked by default, and providing a phone number does not by itself give consent to receive SMS messages. The checkbox and the explanation shown beneath it read:

When you submit the form, we store your choice together with the exact consent wording displayed, its version, and, if you opted in, the date and time of consent. The wording currently shown is version 2026-10-10-v1. If the wording changes, records already made keep the wording and version that applied when they were made.
If you opt in, we may send SMS messages about customer support, service updates, and account notifications relating to your enquiry or engagement with us. Recording your choice does not by itself send any message. Message frequency may vary, and message and data rates may apply according to your mobile plan.

14. Third-party services
We rely on a hosting provider to operate the website, process requests, and store enquiries on our behalf. We do not use third-party analytics, advertising, or tracking services on the website.
The website may link to websites or services operated by others. We are not responsible for their content or privacy practices, and their own privacy policies apply when you use them. If we later connect a provider to send email or SMS messages on our behalf, that provider will process information only as our service provider and as described in this policy.
15. International processing
Our hosting provider's infrastructure may be located in, or accessed from, countries other than the one where you live, including the United States. When you use the website, your information may be transferred to, stored in, and processed in those countries, which may have data protection laws different from those in your country.
Where applicable law requires it, we take reasonable steps so that transferred information continues to receive appropriate protection.

We will respond within the time required by applicable law. If we decline a request, we will explain why, and you may appeal by replying to our response. If you are not satisfied with the outcome, you may contact the data protection authority or regulator where you live.

The website is intended for adults and businesses and is not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a child has sent us personal information, contact us at support@brentova.org and we will delete it.
19. Fraud and abuse prevention
To protect the Contact form from spam and automated abuse, we use the following measures:
- A hidden field that people do not see; submissions that fill it in are treated as automated.
- Rate limiting that counts submissions per hour using a one-way hash of the visitor's IP address combined with the hour window. These counters expire after about an hour.
- Checks that submissions come from the website itself, and limits on the size of each submission.
- Duplicate detection using a hash of the submission, so that a retried message is not saved twice.
We may decline, discard, or delete submissions that appear automated, fraudulent, or abusive, and we may keep information reasonably needed to investigate and prevent misuse.
20. Changes to this policy
We may update this Privacy Policy to reflect changes in the website, our practices, or legal requirements. When we do, we will post the updated policy on this page and revise the “Last updated” date. If a change is material, we will make reasonable efforts to highlight it on the website.
